Our Next AGM : February 1st, 2026

The Annual General Meeting (AGM) is our opportunity to review the year that was and to help put some plans in motion for the coming season. We also have a few positions on the club's Executive to fill and your participation in this process is greatly appreciated (and encouraged).

This will be a "virtual" ZOOM event. 2026 Club Members will be emailed login information as we get closer to the event.

Note : You must be a 2026 LDCC Member to participate in this meeting!


AGM 2025/2026

We have some big shoes to fill with upcoming vacancies in two key roles:

  • Vice President

  • Membership Director

We encourage all of you to consider if you might be the one to step into these shoes (yes, you can self-nominate)... or maybe you know someone in the club who would be perfect for one of these roles - add them to the Nominations! (FYI: the nominations form is anonymous)

LDCC Vice President

The role of the Vice President is to assist the President in leading the organization and steps in to manage operations during the President's absence.
 
Executive Responsibilities:

  • Participate actively in board or executive committee meetings.

  • Provide regular updates on initiatives.

  • Help out with club events and initiatives when possible.

  • Set an example of appropriate behaviour for club members and represent the club brand and sport in a positive, caring and supportive manner:

    • Be an active ride lead who represents the club on rides, races and events.

    • Conduct personal interactions with the cycling community and general public in a manner that exemplifies the ethos of the LDCC.

    • Attend rides and races in LDCC club kit where LDCC is participating.

  • Post rides to the club app "as needed"


Key Roles and Responsibilities:

Support the President

  • Assist the President in planning and executing club activities, events, and initiatives.

  • Step in to chair meetings or represent the club when the President is unavailable.

Leadership and Governance

  • Attend OC (Ontario Cycling) seminars on club-related matters and report to the executive as required

Event and Program Oversight

  • Help coordinate major events (e.g., Pride Weekend, Ride for Hart, YE party, Meet and Greet) as required.

  • Act as backup to the road, mountain and gravel directors in the event they are unable to post or convene rides as required.

  • Support ride leaders and volunteers, ensuring events are well-organized, inclusive, and safe.

  • Step in to troubleshoot or manage logistics when needed.

Succession and Development

  • Mentor newer board members.

  • Be prepared to assume the President’s duties if the position becomes vacant.

  • Help maintain continuity during leadership transitions.


LDCC Membership Director

The mandate of the Membership Director is to sign up new members, foster engagement and retention, and develop programs for member growth.
 

Executive Responsibilities:

  • Attend all board meetings.

  • Provide regular updates on membership initiatives.

  • Help out with club events and initiatives when possible.

  • Set an example of appropriate behaviour for club members and represent the club brand and sport in a positive, caring and supportive manner:

    • Be an active ride lead who represents the club on rides, races and events.

    • Conduct personal interactions with the cycling community and general public in a manner that exemplifies the ethos of the LDCC.

    • Attend rides and races in LDCC club kit where LDCC is participating.

  • Post rides to the club app "as needed".

 
Key Roles and Responsibilities:

Develop Membership Growth Strategies

  • Brainstorm strategies with Diversity and Inclusion Director and executive on how to attract new members with a focus on creating a more diverse membership.

Membership Retention

  • Ensure that all new members are emailed an introduction letter providing information about signing up for rides, social media accounts to follow and how to contact the leadership regarding questions or issues.

  • Ensure new members are added to the Cycle Club App so they can register for rides.

  • Throughout the year, survey members to assess satisfaction, identify concerns, and gather feedback on the club’s offerings. 

Membership List Management

  • Keep track of current members, membership renewals, and new sign-ups through CCN (our registraion portal)

  • Track membership numbers and identify trends .

New Membership Point of Contact

  • Be the primary point of contact for membership-related inquiries, addressing any questions about the sign-up process, rides, events, etc.
